Availability Overhaul: Working Hours, Time Off, Workload, and Coverage
in progress

Adam Smith
The Availability Overhaul combines several of our most-requested availability and scheduling improvements into one connected system.
Availability now includes when staff normally work, when they cannot work, other commitments that affect their schedule, how much work they should receive, and which existing visits need attention when availability changes. Scheduling and assignment tools use this information together rather than treating each piece separately.
Current Availability
Staff can enter
Working Hours
and Time Off
for one date, selected weekdays, a date range, or an ongoing schedule. When an existing entry changes, the update can apply to:
- One date
- That date and future dates
- A temporary period
- The entire series
This supports permanent schedules, seasonal changes, temporary schedule adjustments, individual exceptions, and planned time off without requiring the rest of the schedule to be recreated.
Reserved Staff Time
can be added for training, breaks, and other staff commitments. It blocks that period from scheduling consideration without counting as scheduled visits or estimated visit duration.Availability Policies and Requests
Businesses configure
Working Hours
and Time Off
separately. For each, staff changes can:- Take effect when saved
- Require office approval
- Be managed only by the office
Businesses can also require minimum notice for time off or create date ranges when time off is blocked or requires approval. These rules can apply to all staff or selected Territories.
Changes requiring attention appear under
Requests
. Authorized office staff can see the proposed change, review affected visits, and approve or decline individual dates. Staff can edit or withdraw their own pending requests. For an immediate absence,
Report Unable to Work
records time off covering today or the next six days. It takes effect immediately, identifies the affected visits, and creates coverage follow-up without changing the existing assignments automatically.Special Dates
Existing date naming and client-request blocking are moved from Business Settings into a dedicated
Special Dates
section within Availability. These dates continue to:
- Add names to dates on the calendar
- Block client requests
- Limit a client request block to selected Services or Time Blocks
Existing date names and request blocks are brought into the new section rather than needing to be recreated.
Special Dates also adds the option to block new staff time-off requests for the date. The office can still record an exception when necessary.
Workload
Workload
adds recommended and maximum daily limits based on scheduled visits, scheduled minutes, or both.Limits can be set business-wide or for individual staff members. Additional limits can apply to selected Services and Time Blocks, and
Buffer Minutes per Visit
can account for additional time surrounding each visit.Recommended totals guide AssignIQ. Maximum totals flag scheduling conflicts and limit automated assignments.
Scheduling and Coverage
Availability information is incorporated into scheduling and assignment checks, including:
- Working Hours
- Time Off
- Reserved Staff Time
- Existing scheduled visits
- Workload limits
- Existing pet-capacity limits
Review Coverage
identifies assigned visits that conflict with current availability or workload limits. When someone uses Report Unable to Work
, authorized office staff can review the affected visits, search for eligible replacements, record outreach, assign follow-up responsibility, and track whether coverage has been resolved.Staff can manage their own availability when allowed by the business’s policies and their Availability permissions. Authorized office staff can manage other staff, review Requests, configure Special Dates and Workload, and coordinate coverage.

Any chance of a custom number of weeks for repeat availability? Staff member works a 3 week rota at her other job, so would be useful to set her working hours for every third week.
Melissa Hall
Following Adam’s guidance on support ticket #44655 (related background: #44606), please consider an eight-week team capacity view building on these availability and workload tools.
We need to see, by day and time window across the next eight weeks, where we can accept more bookings and where additional staffing is needed. The view should compare scheduled demand, including existing unassigned visits, with suitable Team Members’ working hours, approved time off, existing assignments, service durations, estimated travel, recommended and maximum daily workload limits, location, client requirements, and familiarity.
Please show remaining capacity within recommended limits as normal booking capacity, room up to maximum limits separately as stretch capacity requiring review, and windows that are full or need review. Missing availability or workload inputs should prompt review rather than imply unlimited capacity. Room under a daily visit limit alone does not establish that another visit fits a particular window.
For a hypothetical example, a Dog Walker working 11 AM–2 PM with three 30-minute visits may fit a fourth only if the actual route, travel, client arrival windows, and recommended daily limit allow it. Four visits require two hours of care plus 45 minutes of travel with 15 minutes between visits. A fifth requires 3.5 hours of care and travel, exceeding the three-hour shift even if the daily maximum allows more visits.
At team level, the view needs to account for whether any suitable Dog Walker or Pet Sitter can cover the additional demand without making existing unassigned visits harder to cover. This would complement the planned preview for one proposed booking by helping the office manage upcoming booking availability across the team.

Is it possible to not allow sitters to see or use this portion?
For an immediate absence, Report Unable to Work records time off covering today or the next six days. It takes effect immediately, identifies the affected visits, and creates coverage follow-up without changing the existing assignments automatically.

When setting workloads can just active sitters be displayed? Currently I show Inactive sitters too. Also, Can you slect a specific day of the week with a timeblock? For example on Sunday Mornings my sitter Margaret can only do 1 morninng visit before Church. Thanks

What are availably change requests? I don't see a list of these when I click on them.

Kristin Skelton: These are Working Hours or Time Off changes awaiting office approval. Clicking that notice should open the pending Requests list. If it’s empty despite showing 50 requests, that needs checking. Could you send a screenshot of the page it opens to support@precisepetcare.com?

Could there be an option to toggle off the Unable to Work button? :) Meaning a staff member couldn't like pop that in at midnight for a 6AM visit the following day. I can see how that would help if a manager put it in to ensure coverage is taken care of though.

Kristin Skelton: That helps clarify your concern. Unable to Work marks the person unavailable immediately, but their visits stay assigned until the office arranges coverage. There isn’t currently a separate staff-only toggle. Keeping this available to management while requiring staff to contact the office sounds appropriate for your workflow.

Would every other week options be doable? We have a rotating weekend manager position.

Adam Smith
Kristin Skelton: Yes, that will be implemented this week.
Kristin Skelton
Would it be possible to add hours to these? For example we have Gab W. out Thanksgiving week in the North Territory but she works the PM shift of 2PM-10PM. It would be great for AM people to still be able to request.

Adam Smith
Kristin Skelton: Yes, this week’s update will let you specify hours on Time Off Policy Periods. You could restrict requests from 2–10pm in North Territory while still allowing morning requests. An all-day request would still overlap the restricted afternoon.
Kristin Skelton
So once we set working hours... we can essentially delete ongoing unavailable hours?... which is kind of what we were using as a work around in the old system.

Adam Smith
Kristin Skelton: Yes, if the policy is “Available only during entered hours.” Repeating unavailable entries used solely to block outside those hours become redundant. Keep separate time off and exceptions.

Adam Smith perfect. TY.

We don't see time off requests pop up anywhere on the calendar (master schedule or sitter availability). Ex; jack mackinnon, december 3rd 12-5pm

Adam Smith
Lauren - 0606 Heath: I found and fixed a visibility gap affecting pending time off for next update (which may be early next week). It will appear on Availability and Master/My Schedule calendars as Awaiting Approval, using existing calendar UI. It remains tentative until approved. Overnight requests and pre-policy legacy requests are covered.
