Tasks

Tasks is available through PPC Labs and replaces To Do List.
It brings staff responsibilities, recurring work, and follow-up into one place, with individual progress tracking, connections to other records, reusable templates, reminders, and workload visibility.Use Tasks for work such as following up on a client request, arranging a key return, reviewing staff information, or completing regular office responsibilities.
Assign work and track progress
Assign Tasks to
Individual Staff
, a Staff Segment
, or All Staff
, depending on your permissions. For Tasks assigned to multiple people, choose how completion works:
- Each Staff Member:Everyone completes their own part, and the Task is completed when everyone has finished. For example, each staff member reviewing updated business procedures.
- Any Staff Member:One person completes the Task for the group. For example, someone on the office team contacting a client about a scheduling question.
Each person’s progress is visible within the Task. Assignments can be changed as responsibilities move between staff, and
My Tasks
gives each person a view of their assigned work.Connect Tasks to the work they’re about
Tasks can include multiple
Related Items
, keeping the assignment connected to the records someone needs to complete it.Related Items can include Clients, Pets, Staff, Visits, Invoices, Transactions, Conversations, Messages, Keys, Key Transfers, Form Submissions, Service Requests, Journals, Ratings, cancellation or change requests, Notes to Office, and other supported records. Tasks can also be created directly from supported records throughout the system.
Task Notes support formatting, lists, links, and images for instructions. Access to Related Items follows existing staff permissions.
Businesses using
Communication Hub
can connect Tasks to Conversations or individual Messages and return directly to the discussion. Completing a Task and resolving a Conversation remain separate actions.Set up repeating responsibilities
Tasks can repeat
Daily
, Weekly
, or Monthly
, with an adjustable interval and optional End Date
.Use repeating Tasks for responsibilities such as weekly supply checks, monthly account reviews, or regular staff follow-ups. Each occurrence has its own assignment, progress, and completion record.
Future occurrences can use:
- Selected Staff:Keep the selected people assigned.
- Current Members:Use the current members of the selected Staff Segments or All Staff when each new Task is created.
Repeats can be paused, resumed, or stopped. Changes to future repeats preserve the work already recorded on existing Tasks.
Reuse Task Templates
Office staff with permission to add Tasks can create shared
Task Templates
for work assigned regularly.Templates can save instructions, assignments, completion requirements, priority, due timing, Related Item behavior, and reminders. A template can use the record from which the Task is being created as its Related Item. For example, a client follow-up template can provide standard instructions and a deadline while connecting the Task to the client currently being viewed.
The details can be reviewed and adjusted before adding the Task. Existing Tasks can also be copied when similar work is needed, although dates, reminders, and repeating settings are not copied.
Set deadlines and follow up on overdue work
Tasks have a
Due Date
and optional Due Time
, separate from when reminders are sent. Multiple reminders can be scheduled through Email
, SMS
, or Push Notification
, subject to Communication Settings and staff preferences.Communication Settings also include:
- Assigned Task is overdue:A daily reminder to staff about their overdue assignments.
- Task I created is overdue:A daily follow-up for office staff when work they delegated to others is overdue.
Completing or canceling a Task stops its pending reminders.
See Tasks alongside daily schedule reminders
The daily
My Schedule
email includes unfinished Tasks that are overdue, due today, or due tomorrow alongside assignments needing attention. The email organizes work by the action needed, such as assignments to accept, confirm, or complete and Tasks to review. Links take staff directly to the relevant Task or schedule item in their portal.
Find Tasks and review workload
Tasks are available in
Table View
and Calendar View
, with Tasks placed on the calendar according to their Due Date. The primary views are:
- Active:Open and In Progress Tasks.
- My Tasks:Work assigned to the person viewing the page.
- Completed:Completed Tasks.
- View All:Tasks in every status, including Canceled Tasks.
- Templates:Shared Task Templates, when available with the person’s permissions.
Search and filters can locate Tasks by assigned staff, creator, status, priority, due or completed date, Staff Segment, and Related Item Type.
The
Workload
view gives management a current overview of active Tasks, overdue Tasks, Tasks due today, and Tasks without a Due Date. It also breaks outstanding work down by staff member, including individual responsibilities and shared Tasks. With the customizable dashboard enabled, the
Tasks
and My Tasks
panels summarize active work, status, priority, and recent completion activity.Existing To Do List items
Existing To Do List items remain unchanged when Tasks is enabled and are not automatically converted.
A separate controlled migration can review and copy eligible items into Tasks without changing the original To Do records or reminders. Items that cannot be copied confidently are held for review rather than being converted incorrectly.

Hey Adam,
Under Tasks, you only have daily, weekly & monthly as options for repeating. Can you create a custom or annnual repeat?

Adam Smith
Steve Bambace: We're going to add Yearly to the repeat options in Tasks next update.
Custom intervals are already supported through Every. For example, choose Weekly with Every set to 2 for every other week, or Monthly with Every set to 3 for quarterly tasks.
If you’re looking for a different pattern, such as specific weekdays or the last Friday of each month, let me know what you have in mind so we can assess that too.

You did it again! The update to Tasks is a massive improvement over the previous To-Dos—the workflow is significantly cleaner and more effective.
To make the tool even more powerful, here are two high-impact feature requests:
- Recurring / Persistent Reminders Until Completion
Current Limitation: Reminders are tied to a single date/time, making it easy for uncompleted tasks to slip through the cracks once that notification passes.
Proposed Feature: Add an option to repeat reminders on a set cadence (e.g., "Remind every [Day / Week] until marked complete"), either in addition to or alongside a fixed due date.
Use Case: Keeps critical, time-sensitive operational tasks top-of-mind without requiring managers to manually recreate or bump reminders.
- Automated Task Assignment for New Hire Onboarding
Current Limitation: Onboarding checklists must be manually assigned to each new hire.
Proposed Feature: Introduce an automated onboarding trigger where a predefined checklist/template of tasks is automatically assigned whenever a profile is designated or tagged as a New Hire.
Use Case: Streamlines HR operations, prevents missed training steps, and standardizes the onboarding workflow across all roles.

Jacob Venter: Thanks, Jacob! Glad the new Tasks workflow is working well for you.
Task Templates may help with both of these today. You can save reusable instructions, due-date timing and reminder dates, then use the template when adding a Task and assign it to the appropriate staff member. That should reduce the manual setup for onboarding, although it doesn’t automatically create the Tasks for each new hire.
For ongoing reminders, we also have daily overdue Task notifications in Communication Settings. Those provide continued follow-up while the work remains unfinished. The gap is choosing a repeating reminder cadence for an individual Task, such as weekly reminders or reminders that continue before a due date or without one. Templates can preset reminder dates, but they don’t repeat reminders indefinitely.
For onboarding, our tentative direction is to add
Create Task as an action within the existing Automations
, alongside the communication options. A hire-related trigger could create a Task from a selected Template and assign it to the matching new hire. We’d also need to work through creating multiple Tasks for a full checklist and potentially triggering it when someone is designated as a New Hire.Would daily overdue notifications cover your reminder use case, or do you specifically need a different cadence or reminders before the Task becomes overdue?
Jacob Venter
Adam Smith The daily overdue notifications would cover the reminder use case. Thanks.

PPC TO DO Functionaility
Jacob Venter
We utilize To Dos to manage administrative tasks and training requirements. We prefer this system over standard messaging because it provides clear visibility into completion status, whereas messages offer no way to track whether a task has been acted upon.
To increase the effectiveness of this tool, we suggest the following enhancements:
Segments: This would allow us to assign tasks to specific team members based on defined criteria, reducing the risk of accidentally overlooking someone during manual selection.
Automated Reminders: When a To Do becomes overdue, the system should automatically trigger an email or text notification to the assignee.
Rich Text Formatting: Adding formatting options would allow us to provide clearer, more organized instructions within each task.

I would recommend that in addition to reminders being sent when overdue, that we could also set multiple reminders for specific dates and times as needed.

Voting this up and adding one thing from the operator side. The to do list already has the right bones: assign to an individual or share it so one person completing clears it for everyone, plus status and priority.
What it is missing is the connection to the alerts. Everything that actually needs a human already collects in the yellow box on the dashboard, and none of it can be assigned, claimed or tracked. If the items in that box could become to do items, the overhaul would cover the whole day rather than just the tasks somebody remembered to type in.

We need the update for Providers to receive a notification when it is assigned to them please.

Yes, the enhanced features would be great, especially the Automated Reminders!

Segments for To Dos
Jacob Venter
The new segments feature for sending messages through PPC is excellent. I believe it would be a significant enhancement if we could also utilize segments within the to-do list.
