What's new When a client has multiple groups of visits, Auto Invoicing handles each group separately. For example, if a client books two vacations and the second vacation is not yet within the Include Visits Scheduled window, the first vacation can be invoiced while the second waits. Previously, the second vacation could prevent all of that client's visits from being invoiced. Visits scheduled every day are also invoiced without waiting for the entire schedule to end. Eligible visits are grouped by the applicable invoicing period, resolving the issue where daily visits could continue waiting and never be invoiced. This applies to groups based on Same Trip , Consecutive Day , and Every Other Day visits. The Auto Invoicing preview shows which grouped visits are waiting. What's clearer Several existing settings have clearer names and descriptions. Their existing choices and functionality otherwise remain the same: Create Invoices For is now Invoice by Status . Visit Window is now Include Visits Scheduled . Keep Grouped Visits on Same Invoice is now Grouped Visits . Invoice Creation Frequency is now Create Invoices . Invoice Date is now Date Shown on Invoice . Send Invoices to Client is now After Creating Invoices .

When canceling a visit and confirming, you can now add a custom message to the cancellation confirmation email sent to the client. This applies when using the Cancel action and choosing to confirm the cancellation at the same time. What Changed Previously, adding a personal note required two steps: Cancel the visit. Use the Confirm action separately. With this update, you can now do everything in one step: Cancel the visit Confirm the cancellation Add a custom message for the client The client will receive the cancellation confirmation email with your custom message included. This makes it easier to explain cancellation details, respond clearly to a client request, or include a personal note without needing to cancel and confirm separately.

Clients can now save both a credit card and a bank account (ACH) on file, giving them greater flexibility for payments. When both are available, the system will automatically prioritize using the bank account for automatic charges such as invoicing and recurring payments. How It Works Businesses can set up separate gateways for Integrated ACH Processing and Integrated Credit Card Processing at Billing > Billing Settings > Online Payments . Clients can enter and save both Credit Card and Bank Account information. When an automatic payment is processed, the system will use the bank account if one is available. If no bank account is available, the credit card will be used. When clients make manual payments , they can choose between their saved credit card or bank account. Additional Notes ACH payment processing currently requires an Authorize.net eCheck or Stax ACH-enabled account. Credit card and ACH setups are independent within the system. Support for additional ACH processors will be added in the future.

You can now format your Cancellation Policy , Visit Request Policy , and Client Agreements using the text editor. These are configured under: Admin > Business Settings > Clients Operations > Agreements What Changed Instead of plain text only, these policy and agreement fields now support formatting such as: Bold text Headings Bullet points Italics Colored text This makes it easier to highlight important details clients need to clearly understand, such as cancellation fees, same-day service charges, request deadlines, agreement terms, or other important policies. For example, you can make a same-day cancellation charge stand out using bold text, a heading, or color. Any formatting added to these fields will appear wherever clients view the Cancellation Policy , Visit Request Policy , or Client Agreements .

I would love if there was a way to tell while looking at pet names if each was male or female without having to open each pet profile.

Now when you make a change to price/pay on a Base Service and use the Effective Date it will work like you expect, including: Existing visits on or after the Effective Date will be updated with the new price/pay (as before) The Base Service WILL NOT be changed to the new price/pay but instead the system will store the dated change separately so a) when viewing the Base Service you will see what will change and when and b) when Recalculating visits the system will use the appropriate price/pay for the date Once the chosen Effective Date has been reached then the Base Service will be updated with the new price/pay Past Effective Date choices (moving forward, nothing you saved before this update) will also be remembered so if you Recalculated visits in the past it should use the appropriate price/pay even if you have since changed it This is only for Base Services at this time and Effective Date changes to individual Client and User rates will still function as before. This feature has high potential for bugs so be on the lookout for anything odd.

This was done briefly in a previous update but was glitchy so was removed. I think it's very useful. I'd like to be able to see each day whose bookings are finished.

We've expanded Profile Change Tracking to include visual indicators directly on the My Schedule page. When a client updates their profile, staff who have not yet reviewed those changes will see an indicator on that client's upcoming visits. This ties into the existing Profile Change Tracking system and reflects updates made within the standard 90-day change history window. How It Works When a client updates their profile, the system records the change. Staff who have not reviewed the updates will see an indicator on upcoming visits on their My Schedule page. The indicator remains until that staff member clicks through to review. What Happens When Clicked Clicking the indicator icon opens the client's profile. Only the fields changed since that staff member last reviewed are shown with the normal recent change icon. The system records that the updates were reviewed. The My Schedule indicator icon disappears for that staff member. If additional changes are made later, the indicator icon will appear again.

We're introducing Company Ratings , a new way for businesses to collect feedback on the client's overall experience . You can use this in place of Visit Ratings (not both at the same time). Instead of rating individual visits, clients are asked a single 1-5 star question after a payment or credit is applied. How It Works Overall Service Rating After a payment/credit is applied, the client receives a prompt asking: "How likely are you to recommend [Business Name] to a friend or family member?" Clients making a manual payment in the portal see the same prompt. Smart Follow-Up Logic 1-3 stars: Client is asked for more detail ("Can you share more about your experience?"). If configured, your office is notified via the existing Client submits a bad Rating (1-3 stars) setting. 4 stars: Confirmation message only. 5 stars: Confirmation + a Google review button (if your Google Review Link is set). Offices can optionally be notified using the Client submits a good Rating (4-5 stars) setting. Flexible Delivery Options Review requests are controlled under Communication Options → Clients → Review Request (sent when Payment/credit is applied) . You choose email, text message, push notification, or any combination. One Rating Per Client (Unless Reset) Once a client submits a Company Rating, the system checks "Company Rating Submitted" on their profile's New Client Checklist. While checked, they will not be prompted again. Businesses may manually uncheck it if needed. How to Enable (Beta) Go to Business Settings → Clients → Client Ratings Select Company Ratings (rating made for overall service after payment) Adjust delivery preferences at: Communication Options → Clients → Review Request (sent when Payment/credit is applied)
