Navigation & Terminology Updates
We're rolling out navigation and terminology updates to improve clarity and usability. These changes are now live for beta testers , and an in-system walkthrough will guide staff and clients through the changes. New Navigation Groups (Staff) Profiles (split from Petcare) Operations (split from Petcare & Resources) Staff (split from Administrative) Key Renamed & Moved Pages (Staff) Service Settings (Operations) → Previously Services & Times under Petcare. Segments (Operations) → Replaces Client Groups & User Groups . Form Builder (Operations) → Previously Client Forms under Petcare. Key Transfers (Schedule) → Previously Key Requests under Scheduling. Client Packages (Schedule) → Previously Package List under Scheduling. Billing Settings (Billing) → Previously Billing Options. Admin Tools (Admin) → Previously Tools under Administrative. Terminology Updates Client Groups & User Groups → Combined as Client Segments & User Segments under a single Segments page. Owners / Master Users → Standardized as Administrator . Profile View → Now Overview . Service Categories → Now Service Groups . Add-on Services → Now Addons . Other terminology changes align with updated page names listed above.

Staff Segments (staff pay groups + more)
This seemingly simple feature brings incredibly powerful capabilities to your management toolkit. Similar to Client Segments , Staff Segments allow you to organize your staff into multiple groupings, tailored to your needs. One of the key ways to group staff is by Date of Hire , enabling you to automatically create segments based on how long staff members have been working for you (relative to the current date). Here's how you can leverage Staff Segments: You can set up automatic staff segments on the Operations > Segments > Staff Segments page. Staff can be segmented based on Date of Hire , Account Type , Tag , Territory , and any custom search . Staff members can belong to multiple Staff Segments simultaneously. Individual staff cannot be manually added or removed from a segment --- instead, adjust the segment's criteria to include or exclude them. Segment-based Custom Rates : For larger companies, this feature saves significant time by eliminating the need to constantly adjust custom rates for individual staff members. Simply set a rate for the Staff Segment, and the system will apply it automatically. Note: If a staff member belongs to multiple segments with custom rates, the system will apply the rate from the first segment listed on the Segments page (you can reorder this list as needed). Segment-based Hourly Pay Rates and Additional Pet Pricing : Set and manage hourly pay rates and custom pricing for additional pets at the segment level. Segment-based ANYONE Assignments : Assign visits to an entire Staff Segment. Only staff in that segment will be notified, and they will have the ability to view and accept the visits. Send Messages to Staff Segments : From the Communication > Messages page, you can send messages directly to any Staff Segment, just like messaging Client Segments. Filter Reports and Master Schedule by Staff Segment : Easily search and filter your reports or the Master Schedule by Staff Segment. Don't forget to use the Save Search option on the schedule for quick access to frequently used filters.

Require Journal Approval
Require Journal Approval allows you to control whether staff journals must be approved before they are sent to clients. Approval requirements can be set globally for all staff, for specific staff segments, or individually for sitters, providing full flexibility based on your business needs. Here's how Require Journal Approval works: Global Journal Approval : Enable a global setting at Admin > Business Settings > Pet Sitters & Journals > Require Journal Approval for ALL Pet Sitters to require approval for journals submitted by all staff members before they are sent to clients. This setting overrides all other approval settings. Staff Segment Journal Approval : Require journal approval for staff belonging to a specific Staff Segment. This setting applies unless the global journal approval setting is already enabled. Individual Sitter Journal Approval : Require approval for journals submitted by specific sitters. This setting is only applied if neither the global setting nor the staff segment setting require approval. Approval Priority Order : 1. Global Setting (highest priority) 2. Staff Segment Setting 3. Individual Sitter Setting 4. (If none are enabled, journals are sent directly to clients without requiring approval.) Approval Process : Once a journal is approved, it is sent immediately to the client with no additional steps required. Note: Require Journal Approval settings can be used in combination with Staff Segments, sitter-level payroll settings, and communication workflows to create custom management structures tailored to your business.
